VAGABOND PILATES STUDIO – TERMS & CONDITIONS

1. Introduction
1.1 These Terms and Conditions (“Terms”) apply to all classes, memberships, packages, and services (“Services”) provided by Vagabond Pilates Studio (“Vagabond Pilates”, “we”, “us”, or “our”).
1.2 By accessing or using our Services, you confirm that you have read, understood, and agree to be bound by these Terms. These Terms are non-negotiable.
2. Booking and Payments
2.1 All bookings must be made through our website, us or Legitfit.
2.2 Payment is required in full at the time of booking. Unpaid bookings will not be confirmed.
2.3 All classes are subject to availability. We recommend booking in advance to secure your place.
2.4 By making a booking, you agree that you are legally authorised to use the chosen payment method.
3. Cancellations, No-Shows, Refunds, Memberships & Packages
3.1 Class Cancellation Window
3.1.1 You may cancel a class up to 36 hours before the scheduled class start time.
3.1.2 Cancellations made within this 36-hour window are not eligible for a refund or credit.
3.1.3 Valid cancellations made outside the 36-hour window will receive a class credit only, not a monetary refund.
3.2 No-Show Fee
3.2.1 A “no-show” occurs when you fail to attend a booked class and do not cancel an hour in advance.
3.2.2 All no-shows will incur a £5 no-show fee, charged automatically.
3.2.3 The no-show fee applies in addition to the forfeiture of the class.
3.2.4 All outstanding no-show fees must be settled before any further bookings can be made.
3.3 Class Packages
3.3.1 Packages and class passes are non-refundable, non-transferable, and non-exchangeable.
3.3.3 All packages must be used within 180 days of the purchase date. Unused sessions will be forfeited.
3.4 Memberships
3.4.1 Memberships operate on a Direct Debit basis and renew every 4 weeks.
3.4.2 All classes booked under a membership must be taken within the relevant 4-week cycle. Unused classes do not roll over.
3.5 Membership Notice Period & Minimum Term
Effective 1 September 2025:
3.5.1 All memberships require a minimum commitment of 12 weeks.
3.5.2 A 30-day written cancellation notice is required to end a membership after the minimum term.
3.5.3 If notice is not provided, all existing and future bookings may be cancelled and further charges may apply until notice is correctly served. A client may not rejoin until they have settled previous unpaid membership.
3.6 Administration Fees
Effective 1 December 2025:
3.6.1 An administration fee will apply to:
– Membership renewals resulting from missed or failed payments
– Any reinstatement actions required due to payment issues
3.7 Membership Pauses
3.7.1 Requests to pause a membership will be granted solely at the discretion of Millie or Molly. A holiday will not be viewed as a valid reason for a pause.
3.7.2 Proof of circumstances may be requested.
3.8 Unlimited Membership Only
3.8.1 Unlimited Membership holders must attend all booked classes or cancel at least 36 hours before the class start time.
3.8.2 Unlimited memberships are subject to fair usage of one class per day.
3.8.3 Failure to attend a booked class or cancel within 36 hours will incur a £20 flat rate fee.
3.8.4 Due to the demand of the unlimited membership, we run a 3-strike policy. Failure to attend booked classes more than times will result in a membership review and possible cancellation.
4. Health & Safety
4.1 You must inform your instructor of any injuries, medical conditions, pregnancy, or relevant health concerns prior to class.
4.2 You agree to participate within your personal physical limits and accept full responsibility for your wellbeing during exercise.
4.3 Vagabond Pilates accepts no liability for injuries sustained in class unless caused by our negligence.
5. Studio Etiquette
5.1 Please arrive on time. Late arrivals may not be permitted to join the class and the session will not be extended.
5.2 Clean workout attire and Pilates socks are mandatory.
5.3 Each session lasts 50 minutes, with a 10 minutes window between each class for sock change and admin.
5.4 Mobile phones must be turned off or placed on silent during class.
5.5 You may take photographs or videos of the studio only with instructor permission.
5.6 Filming or photographing instructors, other clients, or any part of a live class is strictly prohibited.
6. Class Availability & Changes
6.1 We reserve the right to amend or cancel classes at any time due to operational or unforeseen circumstances. If a class only has one sign up it will not go ahead.
6.2 If a class is cancelled by us, you will receive either a full refund or a class credit.
6.3 We are not responsible for external factors that may affect your ability to attend a scheduled class.
7. Data Protection
7.1 Your personal data will be processed in accordance with UK data protection laws and our Privacy Policy.
7.2 By using our Services, you consent to the collection and processing of your information for purposes relating to your bookings, communications, and account management.
8. Limitation of Liability
8.1 To the fullest extent permitted by law, Vagabond Pilates is not liable for:
Personal injury (unless caused by our negligence)
Loss, damage, or theft of personal property
Any indirect or consequential loss arising from use of our Services
8.2 Nothing in these Terms limits your statutory rights.
9. Amendments
9.1 Vagabond Pilates reserves the right to update or change these Terms at any time.
9.2 Changes will be published on our website and will take effect immediately unless stated otherwise.
9.3 Continued use of our Services constitutes acceptance of any updated Terms.
10. Governing Law
10.1 These Terms are governed by the laws of England and Wales.
10.2 Any disputes arising from these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
